How to Set Up Instagram DM Auto Replies

If you type the same answer by hand dozens of times a day, it's time to set up automatic messages. We compare Instagram's free tools with AI replies and explain how DMs land in the same inbox as your WhatsApp messages.

The story is usually the same for businesses that want to set up automatic Instagram DM replies: they're tired of typing answers by hand every day to "How much is it?", "How many days does shipping take?" and "Do you have this in my size?" The good news is that with Instagram's and Meta's free tools, a simple automatic reply takes a few minutes to set up. The real question is whether those tools can handle your message traffic.

Below we first cover Instagram's own tools, then replying with AI. At the end there's a table to help you decide which one suits you.

Which tools are there for automatic replies on Instagram?

On Meta's side we see three core tools. Two genuinely run on their own, and one only shortens your typing time.

Frequently asked questions (in the Instagram app)

According to Instagram's help page, this feature is only available on business and creator accounts. When someone is about to message you for the first time, they see ready-made question buttons on the chat screen. Whichever question they tap gets the automatic answer you wrote in advance.

  • How many questions? You can add up to four questions. Adding an automatic answer is optional.
  • Where do you turn it on? In the app, go to Messages, choose Tools from the more-options menu, then choose Frequently asked questions.
  • Note: According to Instagram, when a person picks one of these questions, their message lands in the Requests folder. You need to accept the request to keep replying.

Meta Business Suite automated replies

If you've connected your Instagram account to Meta Business Suite, you can use the automated replies in the inbox. Meta offers these for Facebook, Messenger and Instagram messages: instant reply, away message and custom replies by keyword.

With a keyword reply, you define up to 5 keywords for one automatic answer. For example, sending campaign information when a message contains "discount." You can also add photos, videos, buttons and links. According to Meta's help page, these custom keyword replies are currently only available in the desktop version.

Keywords need an exact match Meta states that keywords are case-sensitive and that the automatic message doesn't go out if the match isn't exact. Don't assume that because you set "shipping," a customer who writes "where's my shipment" will get a reply.

Saved replies

You save a text you write often and add it to a chat with one tap. It saves time but isn't automatic. Someone still has to see the message and send it.

Where do these tools fall short?

For an account that gets a few messages a day, Instagram's own tools cover the need for automatic Instagram DM replies just fine. As message volume grows, you notice you keep running into the same walls.

  • It doesn't understand the question. The answer is fixed text. If the customer doesn't pick the question from the buttons, or words it differently, the system stays silent.
  • It doesn't remember context. After "Do you have it in black?", a follow-up like "And size M?" is treated as a message unrelated to the one before.
  • There's no handover. It's hard to build a structure that gets the conversation to the right person the moment an automatic reply isn't enough.
  • Channels are separate. When a customer who wrote on Instagram writes on WhatsApp the next day, your team doesn't recognize them and asks the same questions from scratch.

In short: the ready-made tools are good for a first greeting. Keeping the conversation going takes something else.

How does replying to DMs with AI work?

In Chatopya, AI replies to Instagram DMs. Instead of fixed text, the bot draws on your business information: your products, delivery terms, opening hours. However the customer asks, it builds the answer from this information, and it works 24/7.

How is it different from the ready-made tools?

  • Context tracking: It remembers the conversation history and understands the second question together with the first.
  • Tolerance for typos: Typos, abbreviations and idioms don't break the reply.
  • Multilingual replies: It can answer in the customer's language, with Turkish first.
  • Handover to an agent: It passes a conversation it can't resolve to your agent along with the chat history. The customer doesn't have to explain their problem a second time.
  • Sentiment analysis: It flags angry or worried customers immediately, so your team can prioritize.

There's also a drag-and-drop flow designer for specific scenarios. You build flows such as order forms, appointments and surveys without writing code.

From comment to DM automatically

A use we see often: under a post you say "Write INFO in the comments for the price." When Chatopya sees this keyword in a comment, it starts an automatic DM flow with that person. During campaign periods, you no longer have to follow comments one by one.

About credits AI Bot usage runs on credits, and the AI Bot credit package is separate. You can find the details on the pricing page.

Do Instagram and WhatsApp messages land in the same inbox?

Yes. In Chatopya, Instagram DMs arrive in a single inbox, the Conversations screen, together with WhatsApp, Facebook Messenger, Telegram and Web Chat messages from your site. Your team doesn't jump from app to app.

The nice part is the customer card. When a phone number or channel ID matches, the same person's records across different channels are collected in one customer card, and the history shows up in a single timeline. When a customer who asked about sizes on Instagram yesterday writes on WhatsApp today, your agent sees the earlier conversation on the card at the side. You can have merging done automatically, or see it only as a suggestion and approve it yourself.

If you have more than one Instagram profile, you can switch between them. Several agents use the same inbox, assigning chats and handing them over to each other. In the analytics dashboard you track response time, resolution rate and satisfaction. For how the WhatsApp side works, take a look at our article What Is the WhatsApp Business API.

Where should you start with setting up automatic Instagram DM replies?

Whichever tool you choose, half the job is preparation. The technical part is quick. What takes time is gathering the right content.

  1. List the questions. Look through the last few weeks of DMs and collect the most frequent questions and the answers you gave in one document.
  2. Firm up the answers. Keep details such as shipping time, return terms and price range current and in one place. The AI draws on this information too.
  3. Set the handover rule. Decide which topics must always move to an agent: complaints, custom orders, payment problems.
  4. Plan comment campaigns. Write down in advance which post will start a DM flow with which keyword.
  5. Try it, then go live. Message yourself with different spellings and check the replies.
