What Is a WhatsApp Chatbot and What Does It Do?

Your customers write on WhatsApp day and night, while your team can't keep up with every message at the same speed. A WhatsApp chatbot takes on the repetitive part of that load. We explain, in plain language, which type of bot suits you, where it helps and where it should leave things to a person.

At 11:40 p.m., a customer writes: "How many days do I have to return something?" Nobody on the team is online, the answer waits until morning, and in the meantime the customer switches to another tab. A WhatsApp chatbot fills exactly this gap: software on your business's WhatsApp line that answers customers automatically and hands the conversation to a person when needed. Below we cover the two types of bot, which jobs they genuinely handle well and when a bot should step aside.

What exactly is a WhatsApp chatbot?

In the simplest terms, it's an assistant that reads incoming WhatsApp messages and replies based on the rules or information you set. The customer writes as if in a normal chat. Sometimes a bot is on the other end, sometimes an agent.

One point gets confused often. The free WhatsApp Business app on your phone has simple automatic replies such as a greeting and an away message, but a real chatbot usually needs the WhatsApp Business API. The API connects your number to software, and the bot, the team dashboard and the integrations are built on top of that connection.

What's the difference between a rule-based bot and an AI-powered bot?

There are two separate approaches, and most businesses use both together. Understanding the difference also tells you where to use which.

Rule-based (flow) bot

It works like a road map drawn in advance. It offers the customer buttons or options: "1. I want to place an order, 2. I want to book an appointment, 3. I want to talk to an agent." Whichever the customer picks, the bot moves down that branch.

The advantage is that it's predictable. The bot always knows what to say, with no surprises. The drawback comes from the same place: when a customer steps outside the flow and types a free-form question, a rule-based bot usually gets stuck.

AI-powered bot

This type tries to understand the question the customer wrote in their own words. It reads different phrasings such as "How much is shipping?", "is shipping free" and "free shipping over what amount" as the same question, and finds the answer in the information your business has provided.

The key point: a well-built AI bot shouldn't make up an answer on a topic it doesn't know. If it has no information, it should say so and hand the conversation to an agent.

Feature Rule-based bot AI-powered bot
How it works Buttons and predefined steps Understands a free-form question and answers from a knowledge source
Best at Order forms, appointments, surveys, return requests Frequent questions, product recommendations, questions with varied wording
Weak spot Gets stuck on questions outside the flow Can't answer if the knowledge base has gaps
Setup The flow is drawn and tested Business information is loaded and answers are tested

Which jobs is a WhatsApp chatbot good for?

In theory it seems able to do everything. In practice it helps most where the same question comes in dozens of times a day and the answer is clear.

Frequently asked questions

Opening hours, delivery times, return terms, payment options, branch addresses. These questions eat up your team's day, yet their answers are already settled. An AI bot answers them around the clock, and your team gets time for the topics that really need a human touch.

Order and shipping information

With a rule-based order form flow, customers can give the product, quantity and address step by step. Showing products from a catalog and directing people to a payment link can be part of this flow too.

On the shipping side, the most efficient approach is often not to wait for the customer to ask. If your store or marketplace account is connected (the Trendyol, Hepsiburada and Shopify integrations are included in all packages except Starter), an automatic WhatsApp notification goes to the customer when an order is received and when the shipping status changes. The customer has the information before they write "where is my parcel?"

Appointments

Hair salons, clinics, car services, consultancies. Every business that takes appointments asks the same questions: which service, which day, what time, what's your name? An appointment flow collects this information in order. You can also send appointment reminders as a notification triggered from your connected system.

Product recommendations

For questions like "Which cream would you recommend for dry skin?", an AI bot first asks about the need, then recommends a suitable product from the catalog. Think of it as the WhatsApp counterpart of a sales assistant helping out in the store.

When should a bot hand over to an agent?

If we wanted you to remember just one thing, it would be this. A bot doesn't replace your team. It takes on the repetitive load in front of your team.

WhatsApp's business policy points the same way. Meta lets you use automation within the 24-hour customer service window, but it requires that a quick, clear and direct way for the customer to reach a person is also ready. So a "connect me to an agent" option isn't a luxury. It's part of the rule.

In practice, we recommend handing over in these situations:

  • When the bot doesn't know the answer. Instead of making something up, it should pass the conversation to an agent.
  • When the customer is angry. Sending a canned reply to someone complaining usually makes things worse.
  • When the customer clearly wants a person. Phrases like "agent," "someone in charge" or "I want to talk to someone" should trigger a handover directly.
  • When the topic needs a decision. A special discount, an exceptional return, resolving a complaint: these are jobs for people.

The most common complaint about handovers is that the customer has to explain everything from the beginning. That's why it matters so much that the agent takes over the conversation with the whole bot exchange in view.

How does handover work in Chatopya? When the AI can't resolve a question, it hands it to an agent along with the conversation history. When a question has no match in the knowledge base, it doesn't make up an answer. Sentiment analysis flags angry or worried customers immediately, and you can also define a handover rule based on business hours.

What do you need to set up a WhatsApp chatbot?

In short, three things: API access, the information the bot will rely on, and some testing. Let's go through them in a bit more detail.

  1. A WhatsApp Business API account. Your number is connected to the API. You can move your existing number. In that case the WhatsApp Business app on your phone closes on that number and old chats don't move over. You can also start with a new number if you prefer.
  2. A knowledge base. The AI bot speaks from the information you give it. The more clearly you write up content such as delivery, returns, pricing policy and branch details, the more accurate the answers are.
  3. Flows. For step-by-step scenarios such as orders, appointments and surveys, you need to design a flow.
  4. Testing. Before you take the bot live, write to it like a customer would. Ask odd questions, make typos, step outside the flow.

Two Meta rules you should know

The first is the 24-hour window. When a customer writes to you, a 24-hour customer service window opens, and each time the customer sends a new message the clock starts over. Within this window, the bot can reply with free text. After the window closes, you can only reach the customer with Meta-approved template messages. We've collected common mistakes in preparing templates in our template rejection guide.

The second is the AI rule. The WhatsApp Business Platform terms prohibit offering general-purpose AI assistants as the main service on the platform. A bot that supports your own customers and answers questions about your business isn't covered by this. Here, AI isn't the main product. It's a tool that helps your customer service.

How do you set up a WhatsApp chatbot with Chatopya?

As a Meta-approved Tech Provider, we carry out the API application and business verification on your behalf. Setup on the dashboard side takes about 5 minutes. If the number has never been registered with Meta before, Meta's own review time is added on top.

On the bot side, you set up order, appointment, survey and return scenarios without writing code, using the drag-and-drop flow designer. The AI answers frequent questions from your information around the clock, tolerates typos and abbreviations, and remembers the earlier part of the conversation. You can test the bot before going live. WhatsApp Flows is also available in the Business and Enterprise packages.

The details are on our WhatsApp customer service and AI chatbot page. AI Bot usage runs on credits and the credit package is separate, while setup and training are free.

Don't think of the bot as "set it and forget it." When a price, campaign or return condition changes, update the knowledge base too. A bot can only answer as accurately as the information you give it.

Frequently asked questions

Is a WhatsApp chatbot free?

The WhatsApp Business app on your phone only has simple automatic replies. A real chatbot needs the WhatsApp Business API and software. You'll find current information on Chatopya packages and AI Bot credits on the pricing page.

Do I need programming skills to set up a chatbot?

No. You build flows with a drag-and-drop editor, and the AI works from the business information you write. Our team is with you during setup.

What happens if the bot gives a wrong answer?

In Chatopya, the AI doesn't make up an answer when a question has no match in the knowledge base. It hands the conversation to an agent. Keeping the knowledge base current and testing the bot regularly is still up to you.

Does the bot understand Turkish typos?

Yes. Chatopya's AI tolerates typos, abbreviations and idioms. It answers in Turkish first and foremost, and can reply in other languages too.

Can the bot message a customer on its own?

Within 24 hours after a customer writes to you, the bot can reply freely. Once that time is up, or if you're the one starting the conversation, you can only send Meta-approved template messages.
