WhatsApp Multi-User: One Number, a Whole Team
WhatsApp run from one phone by one person clogs up as messages pile up. In plain language, we explain how to share the same number with your team, how to assign and hand over chats, and how to keep track of who is talking to whom.
When a business grows, WhatsApp is usually the first thing to clog up. One phone, one person, hundreds of messages. That is why the search for WhatsApp multi-user access starts with the same question at most companies: how can several people use the same number without getting in each other's way? Below we compare the two options, the WhatsApp Business app and the WhatsApp Business API, from a team's point of view, and explain how chat assignment and handover work in practice.
What does WhatsApp multi-user access actually mean?
In short: the customer writes to a single number, but behind the scenes whoever is free in sales, support or accounting answers the message. Nothing changes for the customer. Same number, same business name, same chat.
The difference is inside your business. Who is looking at which chat, how a conversation moved from one person to another, and who wrote what in the past all become visible. That is where working as a team pays off.
Is the WhatsApp Business app enough for a team?
For a small team, it can do the job for a while. According to WhatsApp's own help page, you can use the same account on up to four linked devices alongside your primary phone. That makes five screens at most.
The problem is less the number than the lack of structure. WhatsApp positions the Business app for small businesses that manage chats themselves. Once a team grows, here is what we often see:
- Two people answer the same message, and the customer gets two different replies.
- Everyone assumes "someone else has seen it", so some chats never get an answer.
- To find out what was promised to a customer, and by whom, you have to read the chat from the beginning.
- The manager has no answer to "who handled how many chats today, and how fast did they reply?"
Once you go past five people, or want to reply outside office hours too, the app starts to feel too small. At that point most businesses look at the API.
How does one number with many agents work through the API?
With the WhatsApp Business API, your number is no longer tied to a single phone; messages land in a dashboard. In Chatopya, the heart of that dashboard is the Conversations screen. Your agents sign in with their own user accounts and manage the chats arriving on the same number together.
If you want to know how the API works in general and who it suits, take a look at our article What is the WhatsApp Business API. Here we focus on the team side.
There is one more advantage. The Conversations screen is not only for WhatsApp: Instagram DM, Facebook Messenger, Telegram and the Web Chat you add to your website land in the same inbox. When a phone number or channel ID matches, the records of the same customer across different channels are gathered on a single customer card, and the agent sees that card next to the chat.
If you are moving your existing number Once the number moves to the API, the WhatsApp Business app on your phone closes on that number and old chats are not carried over to the dashboard. If you prefer, you can also start with a new number.
How do chat assignment and handover work?
This is the most useful part of teamwork, because the answer to "who has this one?" is on screen at all times.
Assigning a chat to an agent
An incoming chat is assigned to an agent, and from that moment the person responsible is clear. Others do not jump into the same conversation by mistake, and the customer deals with a single contact. During a busy morning wave of messages, even this small bit of order makes a big difference.
Handing a conversation over to someone else
A customer came to the support team with a return question, then asked for a corporate invoice. What happens next? The agent hands the chat over to the right colleague, and the conversation moves to them with its full history. The new agent does not have to ask the customer to explain everything again.
Handover between the bot and an agent
When you add an AI assistant to a multi-user setup, the division of work gets even clearer. The assistant answers frequently asked questions around the clock from your own business information; when it cannot solve a question, it passes the chat to an agent together with its history. It does not make up an answer to a question that has no match in the knowledge base. You set the working hours and the handover rule. The details of this side are on our WhatsApp customer service and AI chatbot page.
Why does per-agent history matter so much?
Because memory should live in the system, not in a person. In Chatopya, which chats each agent handles and how they perform is recorded. When a customer says "I spoke to someone last week", finding out who it was takes seconds.
On the manager's side, the analytics dashboard comes in: response time, resolution rate and customer satisfaction. At the end of each conversation, a short customer satisfaction (CSAT) survey can go to the customer, so you can see the difference between "we replied fast" and "the customer was happy". This data gives you solid ground for talking about training needs and shift planning.
We also see this a lot: when an agent leaves, the customer history goes with their phone. When you work in the dashboard, that risk disappears. Chats stay with the business.
How many users do you need?
The size of your team directly affects which plan you pick. Here is a summary of three plans that stand out by team size:
| Plan | Number of users | Monthly price |
|---|---|---|
| Starter | 1 | 1,499 TL |
| Pro | 5 | 4,499 TL |
| Business | 25 | 6,999 TL |
Starter is for single-person use; if you will work as a team, it makes sense to start from Pro. The details of Growth and the quote-based Enterprise plan, along with the differences in integrations, are on the pricing page. The template message fee is not included in the plan; it is paid separately at Meta's unit price, and Chatopya adds no commission on top.

Even when the tool is ready, you are the one who builds the routine. These are the points we focus on most in setup meetings:
- Write down who handles what. Name the owners for topics like sales, support and returns, and make the handover rule clear.
- Prepare quick reply templates. If every agent answers the same question differently, your brand voice scatters. Shared quick replies for common questions solve this.
- Define working hours. Set up the rule in advance: the assistant greets customers outside office hours and hands over to an agent during office hours.
- Explain the 24-hour rule to the team. See the box below; this is the most commonly confused topic.
- Look at the reports once a week. If a shift's response time is getting longer, spotting it early makes the job easier.
The 24-hour customer service window According to Meta's official documentation, a 24-hour window opens when a customer writes to you and restarts with every new message. Within that time you can send free-form messages; once it has passed, you can reach the customer only with an approved template message.
This rule does not depend on the number of agents. If you will reply on Monday to a message that came in on Friday evening, you need a template. To get your templates through approval without trouble, our article on why template messages get rejected will help.
Frequently asked questions
How many people can use the WhatsApp Business app at the same time?
According to WhatsApp's help page, you can link up to four devices to your primary phone. For team needs such as chat assignment and per-agent reporting, an API-based dashboard is a better fit.
Do I need to change my number for WhatsApp multi-user access?
No, you can move your existing number to the API. After the move, the WhatsApp Business app on your phone closes on that number and old chats are not carried over; if you prefer, you can also start with a new number.
Is the history lost when I hand a chat over to another agent?
No. The conversation moves to the new agent with its full history, and the bot also passes a chat it cannot solve to an agent together with its history.
Can I see which agent is talking to which customer?
Yes. Chat history and a performance record are kept for each agent; on the analytics dashboard you can see response time, resolution rate and satisfaction.
Which plan should I choose for my team?
Starter is for a single user; Pro is for teams of up to 5 users and Business for up to 25. Current details are on the pricing page.
