How to Use WhatsApp Business Labels
Who is awaiting payment, who got a quote, which customer is unhappy? Labels in the WhatsApp Business app let you answer these questions at a glance. We explain which labels to create, how to set them up, and the point where labels stop being enough.
Dozens of chats arrive during the day, and who has paid and who is still waiting for a price gets mixed up. The WhatsApp Business labels feature exists for exactly this mess: you sort chats into colored, named groups, then with one tap you look at the "awaiting payment" or "new customers" list. Below we explain which labels are useful, how to set them up, and the point where labels are no longer enough.
What exactly are WhatsApp Business labels for?
A label is a small marker you attach to a chat. Its purpose is not to show something to the customer but to help you quickly find what you are looking for. According to WhatsApp's own help page, you can create labels with different colors and names and add them to a whole chat.
The real benefit is filtering. When you open your phone in the morning, instead of scrolling through every chat one by one, you open only the ones labeled "Awaiting payment". In five minutes the day's to-do list appears.
Labels are now called "lists" WhatsApp is moving labels into a "lists" structure and rolling it out gradually. So on your phone you may see "Lists" instead of "Labels", or you may still see the old view. The logic is the same: grouping chats.
Which labels should you use?
The mistake we see most often here is opening twenty labels on day one and using none of them a week later. Start small and clear. For most small businesses that sell, a set that follows the customer's journey is enough.
| Label | When is it applied? | Your next step |
|---|---|---|
| New customer | Someone writing for the first time | Reply quickly, clarify the need |
| Quote sent | When price or product information has been sent | A polite reminder within a few days |
| Awaiting payment | Order confirmed, payment not received | Share the payment details again |
| Paid / Preparing | Payment has reached the account | Prepare the product, send the shipping details |
| Completed | Product delivered, job closed | A satisfaction question if needed |
| Problem | Complaint, delay or return request | Handle with priority |
If you run a service business, adapt the same logic to appointments: "Requested appointment", "Appointment given", "Came", "No-show". It doesn't matter whether it is a hair salon, a clinic or a service center. What matters is that each label points to the next step.
A status label or a customer type label?
There are two kinds of labels, and mixing them up breaks the order. Status labels ("Awaiting payment") are temporary and change as the job moves along. Customer type labels ("Wholesaler", "Loyal customer") are permanent. Putting one status label and one type label on a chat at the same time is usually enough. More than that confuses things.
How do you create a label in WhatsApp Business and add it to a chat?
The flow on WhatsApp's current help page is as follows (menu names may differ a little by version and language):
- Create the label: Go to Tools, create a new list under Lists, type the label's name and save it.
- Add it to a chat: On the chat screen, press and hold the chat, tap "Add to list" and tick the right labels.
- Filter: During the day, open the relevant list and look only at the chats in that group.
- Update: When the customer moves to the next stage, remove the old status label and apply the new one.
In the app's old view, labels are managed from a separate menu inside the chat list, and in some versions you could also add a label to a single message. Go with whichever one is available to you.
There is a 20-label limit According to WhatsApp's help page, you can create at most 20 labels. If you open a separate label for every product or every campaign, you will hit this limit quickly.
Why does a label routine fall apart after a while?
Setting it up is easy. Keeping it going is hard. The reasons we see are pretty much the same:
- Updating gets forgotten. The payment came in but the "Awaiting payment" label is still there. The list bloats, trust drops, nobody looks.
- The meaning of a label changes from person to person. One person uses "Problem" for delays, another for an angry customer. Write a short list of definitions and share it with everyone.
- There are too many labels. With close to twenty labels, deciding what goes where becomes a job in itself.
- It is unclear who is handling it. A label answers "what is the status", not "who is handling it". As the team grows, this gap grows.
A practical habit to suggest: set aside five minutes every evening for the "Awaiting payment" and "Problem" lists. Change the label of closed jobs right then. Once a week, delete the labels you don't use.
When are labels not enough?
Labels are perfectly good for work run by one person, or a small team, from a single phone. So what changes to make it hard? Usually these signs appear:
- More than one person looks at the same number, and it gets mixed up who is handling which customer.
- Customers write not only on WhatsApp but also by Instagram DM and from your site.
- You track orders from a marketplace or your store, and labeling the same information by hand on WhatsApp is double work.
- You catch up on the frequently asked questions that arrive at night in one batch in the morning.
At this point the topic is not "better labels" but a different way of working. We explained the difference between the app and the API in detail in our article What is the WhatsApp Business API; compared briefly:
| Question | WhatsApp Business app | WhatsApp Business API + dashboard |
|---|---|---|
| Who is it for? | One person or a small team, a reasonable number of chats | Several agents, high volume, many channels |
| How is the routine built? | Labels and lists applied by hand | Assignment, handover and automation, depending on the dashboard used |
| Cost | The app is free | Dashboard fee and Meta's message fees |
If the app is still enough for you, you don't have to switch. Settling into label discipline is all that many small businesses need.
How does chat tracking work once you move to the API?
Let's be honest: label logic is not the same in every dashboard. In Chatopya, labels are used not to organize chats but for campaign segments. You group contacts by label, order history, interest or custom fields and target them in bulk message campaigns. The dashboard has no feature for applying labels to chats by hand.
You track chats with other tools instead:
- Assignment and handover: The same number is used by several agents, each chat is assigned to one person, and handed over to someone else when needed. That way the question "who is handling it" answers itself. The details are in our WhatsApp multi-user article.
- A single customer card: When a phone number or channel ID matches, the WhatsApp, Instagram, Messenger, Telegram and Web Chat records are gathered on one card in a single timeline. On the Conversations screen, the card sits next to the chat.
- Sentiment analysis: The AI automatically flags an angry or worried customer. It isn't a label applied by hand, but it covers part of what the "Problem" label does.
- Notifications from the integration: If Trendyol, Hepsiburada or Shopify is connected, order and shipping notifications go to the customer automatically (the Starter plan has no integration). You don't have to track statuses like "Paid" or "Shipped" by hand.
We gathered the AI replies and agent handover side on our WhatsApp customer service page.
Know this before moving your number When you move your existing number to the API, the WhatsApp Business app on that number closes and past chats are not carried over. Don't expect your label setup in the app to be transferred to the new environment; note down important customer information beforehand.

How many labels can I create in WhatsApp Business?
According to WhatsApp's help page, you can create at most 20 labels. Starting with a small, clear set keeps this limit from being a worry.
Why don't I see the WhatsApp Business label option?
WhatsApp is gradually moving labels into a "lists" structure. On your phone, look for the Lists section under Tools instead of labels, and make sure the app is up to date.
If I move my number to the API, will my labels come along?
During the move, the app on your phone closes on that number and past chats are not carried over. Don't expect your label setup to be transferred; plan to rebuild tracking from scratch in the new environment.
Can I add labels to chats in Chatopya?
No. In Chatopya, labels are used in campaign segments; you track chats with assignment, handover, the single customer card and sentiment analysis.
