Real Estate WhatsApp Automation: Listings to Viewings

A real estate WhatsApp line fills up the day a listing goes live, and most questions are the same. We explain how to leave listing questions to a bot, appointments to a flow and the portfolio to PDFs and images, so agents can spend their time on negotiation and viewings.

Your real estate WhatsApp line starts filling up the day a listing goes live, and most of the messages are the same. In this guide we explain which messages you can hand to a bot, how to automate appointments and portfolio sharing, and where an agent should step in.

What messages does a real estate office get most on WhatsApp?

"Is it still for sale?", "How much are the monthly fees?", "Does it qualify for a mortgage?", "Can we see it on Saturday?" Sound familiar? We see it often: most of the messages offices receive fit a handful of patterns.

  • Listing detail questions: square meters, floor, monthly fees, furnished or not, inside a complex or not.
  • Viewing appointments: which day, what time, who is coming.
  • Requests for similar properties: "What else is there with 3+1 in this area?"
  • Process questions: deposit, contract, which documents are needed.
  • Property owner inquiries: "I want to sell my home, how do we proceed?"

In short: the repetitive part goes to automation, the part that needs trust and negotiation goes to the agent. A well-set-up real estate WhatsApp workflow draws that line clearly.

Which tasks can you leave to a bot?

Answering listing questions

An AI-powered bot builds its answers from your office's own information. In Chatopya, that information lives in the knowledge base in Bot Center: listing details, frequently asked questions, working hours, the pages on your website. Even if the customer makes a typo or uses an abbreviation, the bot understands the question and remembers the earlier part of the conversation.

What matters most in real estate is something else. When a question has no match in the knowledge base, the bot does not invent an answer; it hands the conversation to an agent. A bot that quotes the wrong monthly fee or the wrong square meters does more harm than a bot that does not answer at all.

You keep the knowledge base up to date The bot only knows the information you give it; it does not pull your listings from listing portals on its own. Make it a routine to remove a sold or rented apartment from the knowledge base.

Collecting viewing appointments

With the drag-and-drop flow designer, you can build an appointment flow without writing code. The flow asks in order: which listing, which day, morning or evening, full name. The agent confirms the appointment with the collected information. On the Business and Enterprise plans, you can also offer the same questions as a single-screen form with WhatsApp Flows.

If you want to send a reminder the day before the appointment, you can plan an approved template with a scheduled send. Wasted viewings are what annoys people most, right?

Sharing the portfolio: PDF and images

When a customer asks "What 2+1 rentals do you have?", the bot can list the portfolio in the relevant category and send the PDF portfolio file or images you prepared. Splitting your portfolio into clear categories such as for sale, for rent and by area makes this much easier.

After-hours and weekend messages

People looking for a home usually do not wait for office hours to message. The bot answers 24/7; with the working hours and handover rule you define in Bot Center, complex questions that arrive during office hours go to an agent, and those that arrive at night wait until morning. The agent who picks up the conversation in the morning sees the whole history.

When should you hand the conversation to an agent?

A bot is good at giving information. Persuading, negotiating and building trust are still a human's job. Leave the conversation to an agent in these cases:

  • Price negotiation and offer discussions
  • Deposit, payment and contract details
  • Questions that need expertise, such as title deed, occupancy permit and mortgage
  • Angry or worried customers
  • Owners who want to give you their property

Chatopya's AI hands a conversation it cannot resolve to an agent along with the chat history, so the customer does not have to explain their issue from the start. Sentiment analysis also flags an angry or worried customer immediately, so that conversation does not wait in the queue. More than one agent can use the same number, chats are assigned to an agent and can be handed to someone else when needed. You can find the details on our WhatsApp customer service and AI chatbot page.

Why is the customer card useful in real estate?

Part of your real estate WhatsApp traffic actually starts on other channels. A person looking for a home does not come through just one channel. They see a Reel on Instagram and send a DM. Two days later they write on WhatsApp, then ask one more question through the chat window on your website. If three different agents see three separate conversations, you end up explaining the same thing to the same customer three times.

In Chatopya, when the phone number or channel ID matches, WhatsApp, Instagram, Messenger, Telegram and Web Chat records are gathered on a single customer card. The history across channels appears in one timeline, and when the agent opens the conversation, the card sits right beside it.

Real estate has one subtlety: spouses who use the same phone, or family members searching together for an investment. You can set merging to suggestion-only mode instead of automatic, and say "not the same person" on suggestions. Administrators can undo wrongly merged records from the merge history.

A bridge from Instagram to WhatsApp Add a note like "Write PORTFOLIO for details" to your listing post. In Chatopya, a keyword in a comment starts an automated DM flow, and the customer gets the first information without waiting.

App or API? Choosing by office size

Not every real estate office needs the API. For a solo agent who gets a few messages a day, the free WhatsApp Business app is perfectly adequate. As the team grows, the picture changes.

You can move your existing office number to the API. Two things you should know: the WhatsApp Business app on the phone closes on that number, and old chats are not carried over. If you prefer, you can also start with a new number.

What should you watch for when announcing a new property in bulk?

A new apartment came in, and last month thirty people were looking for a home in that area. It is tempting to tell all of them. On the API side, you do this with a Meta-approved marketing template, and only to people who have given you permission.

  1. Build the segment: pull a list by tag, interest, or custom fields such as area, budget and for sale/for rent. You can also upload contacts with Excel.
  2. Personalize the template: add the customer's name and the area they are looking for with variables; add an image and a button such as "Book an appointment".
  3. Schedule it: plan the message for the evening hours or a weekend morning.
  4. Track the result: see delivery, reads, replies and link clicks message by message.

Meta's daily sending limits and the number's quality score always apply. Sending without permission or irrelevant messages lowers your quality score. Chatopya keeps consent records, opt-out requests and send history for KVKK (Turkey's personal data protection law). We explain when you can send a customer a free-form message and when you must send a template in our WhatsApp 24-hour rule article.

What changed on the cost side after October 1, 2026?

Meta charges template messages by category (marketing, utility, authentication). Starting October 1, 2026, the service replies you give within the 24-hour window that opens after a customer writes are also charged per message; utility templates sent in this window are also paid. So the era of "replies are free when the customer writes first" is over.

One area stays free: the free entry point window (open for up to 7 days) that opens when a customer comes from an ad that leads to WhatsApp. This is an important detail for offices that promote their listings with ads. We collected the category-based charges and the free allowance for service messages in our WhatsApp Business API pricing guide.

Chatopya plans start at 1,499 TL per month; Meta's message fee is separate and passed through at Meta's unit price, with no commission added by Chatopya. AI Bot usage works with a separate credit package. The details of the plans are on the pricing page.

Frequently asked questions

Is the WhatsApp Business API a must for a real estate office?

No. For an office that works with a single agent and gets few messages, the free app is enough. If several agents will use the same number, or you want a bot and bulk announcements, the API is more suitable.

Can the bot see my listings on listing portals?

No. The bot only uses the information you add to the knowledge base and the pages on your website. Keeping listing information in the knowledge base up to date is up to you.

Are my replies free after the customer writes?

Not always since October 1, 2026; service replies within the 24-hour window are also charged per message. The free entry point window (open for up to 7 days) that opens when a customer comes from an ad that leads to WhatsApp is free.

Can I use the office's existing number?

Yes, an existing number can be moved to the API. The WhatsApp Business app on the phone closes on that number and past chats are not carried over.

Will the bot make up a price when it does not know something?

When a question has no match in the knowledge base, the bot does not invent an answer; it hands the conversation to an agent together with the chat history.
