Facebook Messenger for Business: How to Manage Messages

When messages to your Facebook Page get a late answer, the customer is gone too. In plain language, we explain how many hours you have to reply on Messenger, how to use Meta's free automated replies, and how to stop messages from getting lost as your team grows.

Every message that reaches your Facebook Page is really a question or an intent to order. When Facebook Messenger business messages are set up well, customers get quick answers and you don't miss a single conversation. Here we focus on three things: the time rule Meta sets, the free automated reply options, and a routine that keeps messages from getting lost.

How do Facebook Messenger business messages work?

The rule is simple. When someone writes to your Page, according to Meta's Messenger policy you have 24 hours to reply. Meta calls this the "standard messaging window". Messages you send inside this window can also carry promotional content; so if the customer asked about a campaign, you can freely share the discount code.

The customer can also block or mute the conversation at any time. So what happens after 24 hours?

Can you still write to the customer after 24 hours?

You can't write freely, but there are a few exceptions. Meta limits them with separate rules:

OptionWhat is it for? What to watch for
Human Agent tagLets an agent reply to the customer manually for up to 7 days.A tag defined in the Messenger API; not used for automated or promotional messages.
Other message tagsDefined uses for personal, important updates.Promotional content can't be sent; using them outside their purpose can lead to sending restrictions.
One-time notificationAsks for permission to send the customer one follow-up message after the window closes.Available only on Messenger, not on Instagram.
Sponsored messageLets you reach people who have an open conversation with your Page again.A "Sponsored" label appears above the message.

The old tags no longer work. Meta removed three message tags that were used for post-purchase updates, event updates and account updates. Since 27 April 2026, API requests made with these tags return errors. Meta wants people to move to approved utility templates or the Marketing Messages API instead.

In short: on Messenger, the real work ends with the reply you give in the first 24 hours. If you are closed at the weekend or a question needs research, the Human Agent tag gives you room to breathe. But that too applies only to replies written by a person.

What are Meta's free automated reply options?

The Meta Business Suite inbox has ready-made automated replies for Facebook, Messenger and Instagram messages. For a small business, these are often enough to start with.

Instant reply

The welcome text that goes out automatically to the first message a customer sends you. A sentence like "We got your message, we'll get back to you within a few hours at the latest" keeps the customer from being left in limbo.

Away message

It goes out when you are not in the inbox. If you write your working hours and when you will get back, customers don't keep asking the same question.

Frequently asked questions and ready topics

Meta offers suggested automated replies for up to 5 questions your business gets often. There are also ready replies for contact details, location and working hours. You can add photos, videos, buttons and links to replies.

Custom reply by keyword

A reply that goes out when a specific word appears in the message; for example "shipping" or "price". According to Meta's help page, this option is for now available only in the desktop version of Business Suite. There is also a timing setting: you can send the reply after the chat has been quiet for a certain time. If you set it to 15 minutes, the automated reply goes out only if you haven't written an answer for 15 minutes.

Watch out for overlap If both a ready (suggested) reply and a keyword reply are triggered at the same time, Meta sends the ready one. With the away message turned on, a customer who writes "shipping" sees the away message, not the shipping reply.

Why do Messenger messages get lost?

We see it often: the business reads messages but forgets to answer. Or the opposite, two people give the same customer different answers. Behind lost messages there is usually not a technical problem but a lack of routine.

  • Unowned conversations: Several people have access to the Page, but it is unclear who will look at which message. Everyone thinks "someone else will answer".
  • Read but not answered: A message viewed on a phone looks read, then slips to the bottom of the list.
  • Many channels, many apps: Messenger is in one place, Instagram DM somewhere else, WhatsApp on the phone. When a customer writes on one channel and follows up on another, the history gets scattered.
  • Missing the window: Once 24 hours pass, your ability to reply narrows. A late answer can also send the customer elsewhere.

When do you need a shared inbox?

Not every business needs a dashboard for Facebook Messenger business messages. If you get a few messages a day and answer them alone, the Meta Business Suite inbox and its automated replies do the job well. It is free and quick to set up.

Things change as the team grows. If several agents look at the same Page, or messages also come from WhatsApp and Instagram alongside Messenger, a shared inbox creates order: each conversation has an owner, handovers are recorded, and the customer's history is visible in one place. We explain the same logic on the WhatsApp side in our guide on a team sharing one number.

In Chatopya, Facebook Messenger connects to a single inbox, the Conversations screen, together with the WhatsApp Business API, Instagram DM, Telegram and Web Chat. You can assign chats to agents and hand them over to another agent when needed. Records with a matching phone number or channel ID are gathered on a single customer card. That way, the history of a customer who wrote on Messenger and came back the next day on WhatsApp shows up in a single timeline. On the analytics dashboard you track response time, resolution rate and satisfaction, and you reply quickly to common questions with quick reply templates. We explain the team and inbox side in more detail on our customer service page.

What should you do to get your Messenger inbox in order?

Whichever tool you use, this order works for Messenger business messages:

  1. Turn on the instant reply and the away message. The moment a customer writes, let them know their message was received and when you will get back.
  2. Write down the 5 most common questions. Price, shipping time, address, working hours, returns. Turn them into ready replies.
  3. Make responsibility clear. Decide who looks at what hour; if you are on a team, assign conversations to people.
  4. Think of the 24 hours like a calendar. Answer messages left over from the day before first thing in the morning.
  5. Keep the history in one place. If customers write from different channels, use a single inbox or a shared customer record.

If you want to set up similar automation on Instagram, you can look at the Instagram DM auto-reply guide. On WhatsApp the time rule and pricing work differently; we cover the time side separately in our article on the WhatsApp 24-hour rule.

Frequently asked questions

How many hours do I have to reply to a message on my Facebook Page?

According to Meta's Messenger policy, the standard messaging window is 24 hours. In that time you can reply freely, including with promotional messages.

Can I write to a customer on Messenger after 24 hours?

In limited cases, yes. With the Human Agent tag in the Messenger API, an agent can reply manually for up to 7 days; there are also specific tags for personal updates. For promotional content, you need to look at the sponsored message option.

How do I set up an automated reply on Messenger?

With the automated replies in the Meta Business Suite inbox, you can set up an instant reply, an away message, frequently asked questions and keyword replies. Keyword replies are for now available only in the desktop version.

Why didn't my keyword reply go out?

If a ready automated reply was triggered at the same time, Meta sends the ready one. For example, if the away message is on, it goes out instead of the keyword reply.

Can I see Messenger, Instagram and WhatsApp messages in one place?

Yes, with tools that offer a shared inbox. In Chatopya, these channels are gathered on the Conversations screen together with Telegram and Web Chat.
