Setup and migration

Plan your move to Chatopya in advance

Find out which steps you need, from your WhatsApp account to your e-commerce integrations. The scope of the setup depends on your current systems and the features you choose.

  • Define your needs
  • Prepare accounts and integrations
  • Test, then go live
The process

Five steps from first call to go-live

The order is the same for every business. How long each step takes depends on your account, your number and the systems you connect.

  1. Step 1: Needs analysis

We map your current communication setup, the channels you use, your team structure and your automation needs.

    • The WhatsApp solution you use and the status of your number
    • Channels and agents you need
    • Your e-commerce or CRM platform
    • Automation and reporting expectations
  2. Step 2: Meta and WhatsApp account setup

We check your business account, permissions, number status and the WhatsApp Business Platform requirements.

    • Access to your Meta business portfolio
    • WhatsApp Business account and number status
    • Required admin permissions and verifications
    • Migration requirements if you already have a provider

Setup requirements depend on your existing account, your number and Meta's current terms.

  3. Step 3: Integration and automation setup

The channels you need and supported systems are connected; message flows and business rules are prepared.

    • Connecting e-commerce, CRM or other systems through ready-made or custom integrations
    • Message templates and automation rules
    • Agent routing and handover to a person
    • Flows for order, product or shipping information

Ready-made integrations: Shopify, Trendyol and Hepsiburada. Other systems are connected through a custom integration. Integrations

  4. Step 4: Testing and verification

Before going live we check that message flows and integrations work as expected.

    • Incoming and outgoing message tests
    • Template message and opt-in checks
    • Automation rules
    • Handover to an agent
    • Order and shipping data checks, if used
  5. Step 5: Go-live and support

Once the checks are done, live use begins. Training, follow-up and support follow the service model agreed with you.

    • Go-live checklist
    • Access for authorised users
    • User training and documentation
    • Follow-up and support in the first weeks

The scope of training and support is set by your service model.

Questions about setup and migration

Rules for numbers, history and providers are set by Meta and can change. We check them for your account before the move.

More in our guides

There is no single answer. The panel account is ready quickly; the total time depends on business verification at Meta, the current status of your number, whether you are coming from another provider and how many integrations we connect. Meta's review time is outside our control. In a demo we look at your account together and give you a realistic timeline.

In most cases yes, but the method depends on where the number is used today. If it is on the WhatsApp Business app, it is either removed from the app and used only on the API, or Meta's coexistence option for using the app and the Platform together is considered; whether that option is available for your setup has to be confirmed separately. If the number is with another provider, account ownership and Meta's migration conditions are checked. A number registered on personal WhatsApp first has to have that account deleted.

Don't assume it will be moved automatically. If you remove the number from the WhatsApp Business app and connect it to the API, chats from the app do not appear in the panel, so we recommend a backup first. With Meta's coexistence option, one-to-one chats from up to the last 180 days can be synced if the business agrees, but whether that option is available for your setup must be confirmed with our team. When you come from another provider, message history and contact lists stay in that provider's system; export the records you need before the move.

First choose the method: will you use the number on the API only, or together with the app? A number removed from the app can no longer be used there, and past chats are not transferred. With coexistence, some app features such as broadcast lists, group chats and voice or video calls are restricted. Either way, back up your chats, check your admin access in your Meta business portfolio and plan the switch for a quiet time.

Yes, but Meta's rules and the structure of your account shape the process. It is easier if the number and the WhatsApp Business account sit in your own business portfolio; if they are in your provider's portfolio, ownership has to be settled first. When Meta's phone number migration can be used, the display name, quality rating and messaging limit are kept. For accounts on Meta's new account model, the WhatsApp account may have to be shared with the new provider instead of migrated. You may need to ask your current provider to turn off two-step verification and agree the switch time with them.

In practice, yes. Meta keeps sending limits low and restricts some features for unverified businesses, so we start verification at the beginning of the move. Chatopya runs the application on your behalf with your legal name, tax certificate and brand details. The documents Meta asks for and its review time vary from business to business.

Someone with admin rights in your store panel needs to be present during setup; that person grants the connection. Shopify, Trendyol and Hepsiburada are among Chatopya's ready-made integrations. There is no ready-made integration for platforms such as WooCommerce, Ticimax, İkas or T-Soft; we connect them through a custom integration. The method, scope and timeline depend on the access the platform offers (API, webhooks and so on) and are set out in the quote. Do not send API keys, passwords or verification codes by email or form; access is granted under your control during setup.

We can't guarantee a switch without any interruption; the risk depends on the method. While a number is disconnected from one account and connected to another, Meta queues incoming messages, and the number is usually available again within a few minutes. A provider switch needs both sides to coordinate. That is why we plan the move for a quiet time and test incoming and outgoing messages before going live.

Not for ready-made integrations and the panel setup; it is enough for someone with the right permissions in your Meta account and store panel to take part. If you need a custom connection to your own software, a CRM or an ERP, the person responsible for that system should be involved as well.

Your bill can have three items: Chatopya's monthly plan fee, Meta's per-message fee and, if needed, integrations that require custom development. Chatopya adds no commission to Meta's fee. There is no separate charge for the standard panel setup and user training; the scope and price of custom integrations are listed separately in the quote. You'll find plan prices on the pricing page and Meta's fees in the cost calculator.
